Job Summary: The Administrative Assistant provides organizational support for each GHS director including, but not limited to, meeting management, travel coordination, purchasing-related activities, and assisting with projects and assignments as requested. This position requires a high degree of initiative and flexibility. The Administrative Assistant will report directly to the Organizational Development Director. This position is permanent, full-time, and is non-exempt and eligible for overtime pay. Supervisory Responsibilities: None. Duties/Responsibilities: Provides administrative support and project assistance to the Organizational Development Director, Executive Director, Finance Director, Reentry Services Director, Behavioral Health Director, Assistant to the Executive Director, and other program supervisors/departments as needed. Performs clerical tasks such as filing and scanning documents, organizing digital files, creating memos, drafting reports and other professional correspondence, and sending documents and agency announcements to employees and outside agencies. Receives and distributes mail, prioritizes correspondence, investigates, and follows up as required. Receives visitors and responds to inquiries received via phone, email, and the GHS website. Helps coordinate appointments and meetings for the leadership team and agency departments. Compiles statistics and program outcome data for inclusion in reports, presentations, and special assignments. Assists with agency compliance and accreditation activities, including tracking required emergency drills and employee training completion. Coordinates registration and travel arrangements for approved employee training and conferences. Helps plan agency events and employee appreciation activities such as all-staff lunches, holiday parties, etc. Performs additional duties as assigned by the Organizational Development Director. Required Skills/Abilities: Capacity to accept instructions and feedback from multiple sources at once. Ability to function well in a team-focused environment that reflects the mission and goals of GHS. Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Exceptional time management skills with a proven ability to meet deadlines. Strong professional boundaries and ability to maintain the confidentiality of agency and employee information. Ability to problem solve and work independently. Ability to represent Gastineau Human Services Corp. professionally. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Able to type a minimum of 50 words per minute. Extremely proficient with Office 365 or similar software with the ability to learn new or updated software . Education and Experience: High school diploma or GED required; associate or bachelor’s degree preferred. At least four years of related experience required. Physical Requirements: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times. Must pass a DOC and DOH background check. Must have a current driver’s license and be insurable by GHS’ auto insurance carrier. Must pass drug test upon hire.
