DepartmentARTS & SCIENCES; DEAN (BL-ARSD-IUBLA)Department InformationThe College Graduate office oversees all 2500 graduate students and all PhD, MA, MS, MFA, and other graduate degrees, plus minors and certificates, in the College. Our job is to make it possible for graduate students in the College to acquire the expertise they came to Indiana for, to pursue the research that inspires them, and to gain knowledge and experience as teachers and/or in other professions relevant to their degrees.The mission of the office is to build upon those projects to improve the funding, and thus the quality and reputation of our graduate students and programs.Job SummaryDepartment-Specific Responsibilities Works with the Directors in the College Graduate Office to support graduate education and graduate student services in the College of Arts and Sciences' 50+ degree granting programs. Provides direct support, consultation, and guidance to faculty, staff, and students regarding College procedures and campus policies related to enrollment. Trains graduate program personnel in areas related to the graduate student life cycle, with a particular emphasis on the business of being a graduate student. Plans and coordinates office communications, staff outreach, and professional development activities (e.g., Handbooks, training) on behalf of the College Graduate Office. Manages all current term enrollment issues, including eDrop/Add, late registration, in absentia registration, course adjustments, and term activation for the College Graduate Office. Advises and educates graduate staff on appropriate procedures surrounding student enrollment. Drafts College Graduate Office communications in relation to student enrollment and oversees front line communications for graduate student services. Responds to department inquiries, elevating situations to appropriate Director when necessary. Works with the directors to coordinate the development and delivery of appropriate training opportunities for new graduate personnel, including Directors of Graduate Studies and graduate staff. Plans and executes College graduate staff brown bag program. Collaborates with the Directors to design annual/semi-annual training and refresher opportunities, produce online training modules, as well as individualized training opportunities as needed. Manages the Handbook for Graduate Program Personnel, develops online training modules, and other training materials as needed. Assists in maintaining the relevant SIS (Student Information System) program/plan stacks and advises and educates graduate staff on appropriate procedures surrounding program plan stack maintenance. Maintains access to internal resources for applicable staff and faculty.General Responsibilities Develops and implements programs and initiatives that touch on various/multiple student-related goals, such as enhancing and reinforcing academic engagement and experiential learning; increasing student engagement, wellness, and involvement; fostering learning, inclusion, and development; supporting students in crisis and adversity; and improving the student campus experience. Interfaces directly with students by attending student programming events, advising student organization leaders, meeting 1-on-1 to discuss areas of concern on campus, and gathering satisfaction feedback from student participants to implement into future student services initiatives and objectives. Collaborates with staff in own department and other departments, as well as academic and campus leaders, on shared student services goals, often coordinating funding to sponsor student programs and initiatives. Projects outcomes for services offered at the program, department/division, or campus level. Measures and evaluates effectiveness of student services against projected outcomes; regularly prepares reports on impact to students and budget and may present to stakeholders on effectiveness and to secure funding for initiatives moving forward. Serves on committees and performs student services research across the field of higher education and at peer institutions to identify and recommend best practices. Plans and coordinates communications for student services initiatives to ensure student participation and engagement. May provide guidance to other student services staff; makes process recommendations to manager for improved delivery of service.QualificationsThis position is posted at the Career Career Level but may be filled at the Core Career Level depending on the candidate's qualifications.
