Summary A downtown Salt Lake City luxury condominium community is seeking a combination building manager/engineer to work closely with the HOA management company to oversee the day-to-day operation of the property. The position requires building strong relationships with the board of directors, homeowners, residents and staff to ensure a high quality living environment. Duties Acquire an understanding of all HOA governing documents (CCRs, By-Laws and published rules) and ensure all requirements are followed. Quickly gain a working knowledge of all systems and assimilate standard operating policies and procedures. Proactive inspection of building and exterior common areas, building systems, and other common amenities to ensure necessary repair and maintenance activities are conducted in a timely manner. Oversee and track the required maintenance tasks for all building components including: all HVAC, mechanical, electrical, plumbing, fire monitoring equipment, emergency generator equipment, building automation systems and other such maintenance required to maintain the building. When skill level allows, complete maintenance tasks on these systems. When more skilled labor is required, contact vendors and arrange for work to be completed. Confirm jobs are completed to standards and expectations. Inspect mechanical equipment to diagnose trouble using basic mechanical tools and equipment. As allowed by skill level, disassemble machines and equipment and adjust, replace or repair broken or defective parts and pieces. Implement and maintain a monthly preventative maintenance program tracking all scheduled maintenance for the building. Maintain records of all common area equipment. Schedule, conduct and document regular inspection of all common areas. Inspect completed mechanical repairs for quality, safety, and proper operation. Maintain the inventory of tools and supplies. Schedule and supervise all vendors that come on site. Ensure that all vendors are performing in accordance with their job description and expectations. Oversee all facets of the daily operation of the building, ensuring compliance with HOA policies and regulations as required by code and regulatory enforcement agencies. Monitor receipt, assignment and completion of all work order requests. Ensure operating procedures and preventative maintenance plans are in place and followed for all key systems. (elevators, HVAC, pumps, boilers, security, etc...) Respond to homeowner/resident requests for maintenance or compliance issues. Work with Community Manager to prepare and post board meeting agendas and newsletters. Attend and participate as necessary in board/homeowner meetings. Obtain detailed bids for building projects or changes in recurring vendor contracts. Work with Community Manager to monitor the financial position of the HOA and coordinate regular financial reports and any documents requiring board member signatures. Assist the Community Manager and Board of Directors in the preparation of annual budget. Work with the Community Manager and Board of Directors to coordinate the annual homeowners meeting. Assess and monitor community needs, identify opportunities for improved communication or service delivery methods and implement new programs or improvements. Coordinate move-ins and move-outs. Maintain preparedness for emergency response to flood, fire, power outage, earthquake and other disaster. Investigate, respond and resolve problems related to homeowner/resident complaints. Work 8 hours daily in building from Monday through Friday, but also be available to respond to after hours emergencies. Requirements Have an understanding of automated high-rise building operations and systems. Strong written and verbal communication skills. Must be an "active" listener who can anticipate issues and strive for mutually satisfactory resolution. Customer service oriented mindset with multi-tasking abilities and a flexible resilient attitude. Ability to work cooperatively with elected volunteer board members and to be comfortable in a "servant-leader" role. Must be able to deal with homeowner conflict issues and to work well under pressure. Must be able to instill confidence in board members, homeowners, residents and staff by demonstrating business skills, technical knowledge and honest candor. Must have technical knowledge and experience in engineering and mechanical systems to be able to cross-train and work side-by-side with the full-time building engineer in performing necessary maintenance tasks. Ability to climb ladders, work in weather and lift 50 lbs. Ability to write and re-engineer processes and create policy and procedures according to best industry practices. Ability to work with and understand the problems and attitudes of homeowners. Physically able to perform all duties and work five days a week and serve on-call as needed. Demonstrate time management, common sense and self-control skills. Be a team player and to contribute to the creation of an enjoyable, productive and safe work environment. Display high morale, integrity, loyalty, enthusiasm and professionalism at all times. Be willing and prepared to assist team members with tasks not strictly related to this job description. EDUCATION and/or EXPERIENCE A minimum of five years of HOA property management (or equivalent professional experience in a related field such as rental property or hospitality industry management). Proficient in Microsoft Word, Outlook, Excel, basic accounting software, basic publishing software and electronic business record maintenance. Preferred but not required: college degree in business administration or related field.
