This position is responsible for overseeing and managing various aspects related to human resources and administration including ensuring compliance with the Company policies as well as proactively planning and implementing effective company procedures. Client (type/ industry) : Investment/Real Estate Working Location: Los Angeles, CA; Onsite, but Hybrid optional (min. 3 days in office) Employment Type : Full-time (Exempt) Salary : $100,000 - $120,000 + Full Benefit Job Description 【HR MANAGEMENT】 Talent Acquisitions Conduct a full cycle of the hiring processes including screening of resumes, scheduling of interviews, negotiating offers, background checks, managing the onboarding process, conducting orientations, and preparing all documentation, systems, and tools as necessary. Develop and implement effective recruitment strategies as well as build efficient relationships with outside recruiters / headhunters to attract and hire qualified candidates. Maintain all applicants in file. Employee Relations Develop and implement employee engagement initiatives to enhance overall job satisfaction. Foster positive employee relations by addressing concerns, resolving conflicts, and promoting a healthy work environment. Partners with the leadership team to provide support and guidance when complex, specialized, and sensitive questions and issues arise; may be required to administer and execute routine tasks in delicate circumstances such as providing reasonable accommodation, investigating allegations of wrongdoing, and terminations. Conduct a full cycle offboarding process both involuntary and voluntary for a smooth exiting process. Benefit Administration Administer employee benefits programs, including health insurance, retirement plans, and other perks. Analyze a trend to be competitive, and review the overall company benefit package at annual renewal. Communicate benefits information to employees and facilitate open enrollment processes. Maintains employees’ attendance records including sick leave and vacation balance, schedules, other leaves, and tardiness. Manage the 401(k)-retirement plan compliance, filing Form 5500 and annual compliance test accordingly. HR Policies and Compliance Develop, Implement, and enforce HR policies and procedures to ensure compliance with applicable laws and regulations. Stay abreast of changes in labor laws and regulations to update policies and procedures accordingly. Keep up to date with the Employee Handbook. Files and manages employee personnel folders as well as their Confidential and I-9 folder. Review and establish other company policies and procedures in the HR & Administration team in charge. Work with auditors and J-Sox compliance as necessary. Performance Management Oversee the performance appraisal process, guiding managers and employees on goal-setting and performance improvement. Implement performance management systems to track and evaluate employee performance. Training and Development Identify training needs and coordinate professional development programs for employees. Encourage continuous learning and skills development to enhance employee capabilities, especially for supervisors and managers training as grow with the employee numbers. Enforce mandatory training required by Federal and State compliances, and our headquarters and its holdings company. HR Analytics Utilize HR metrics and analytics to assess the effectiveness of HR programs and make data-driven decisions. Summarize and analyze the data of the Annual compensation survey as well as the CPI report for Cost-of-Living Adjustment (COLA) and propose the pay equity to upper management. Keep an eye on the markets of any employment-related (job, jobless rate, and finance, etc.) throughout the year for the HR best practice. Payroll Management Full cycle payroll management for the semi-monthly payroll for employees and monthly for expatriate employees. Maintain employee’s profile and payroll record in the ADP system and report a summary to the accounting department. Summarize all expatriate employees' payroll records paid in Japan and the US, and all other US taxable income reports paid as allowances and benefits for gross-up payroll calculation. Understand gross-up payroll and communicate with gross-up payroll adjustment calculations with the third-party payroll company. Work on annual worker’s compensation audit and report with the WC auditors. Expatriate Employee Support Manages inquiries from employees on regulations and procedures governing the immigrant visa process. Work with the immigration lawyer for applying immigration visas for all expatriate employees for application and renewal. Work with the team members to assist all expatriate employees in transitioning from Japan, especially for newly assigned expatriate employees, as well as ending their assignment going back to Japan. Maintain all expatriate employee’s Visa statuses, Form I-94, totalization certificate, and other statuses in the U.S. Record their taxable income based upon the expatriate benefits to record their gross-up payroll. Assist expatriate employees with the US annual tax return and make sure to file all on time. Work closely with an income tax specialist to file their tax return smoothly. Available to assist with any living support for expatriate employees. 【OFFICE ADMINISTRATION】 Support to summarize the HR & Administration department budget. Be a primary HR contact, receiving and issuing a verification of employment for employees upon request. Initiate IT-related communications for employees' onboarding and offboarding transactions with the team. Maintains corporate liability insurance such as workers’ compensation, general liabilities, auto and property insurance, cyber, and EPLI and oversees the insurance claims; negotiates prices with brokers. Update and maintain the organization chart and all other HR-related records. Monitoring and enforcing the internal control in procedures including workflow, approval flow, and system operations. Stick to the internal control rule, formatting, modifying, and arranging any operational flow under compliance such as the headquarters audit, Internal audit, J-SOX, and other audits working closely with the Accounting & Finance department. Issuing HR MEMO to all employees as necessary for an announcement Assist and back up support for other team members to manage the Company property and office facilities, and company event coordination including communication with the landlord, and vendors. Helps other employees with various tasks, (i.e.) collecting and gathering information, etc. 【SUPERVISORY (if any)】 Oversees the daily workflow of the department. Provides constructive and timely performance evaluations. Handles discipline and termination of employees in accordance with company policy. 【OTHER & MISCELLANEOUS】 Customarily and regularly exercises discretion and independent judgment in carrying out work responsibilities. Performs assignments and tasks under only general supervision. Seeks constant improvement, more efficient and less expensive ways and means in work processes. Performs special projects and other miscellaneous exempt-level duties as assigned by management. Maintains high ethical standards in the workplace. Maintains good communication with management, office staff members and outside contacts. Complies with all company policies and procedures. Responsible for maintaining a clean and safe working area. Qualifications B.A. in Human Resources, Business Administration; or equivalent combination of education and experience in a related field required Minimum 7 years of experience in the corporate level of Human Resource Management and/or related experience preferred Exceptional communication and interpersonal skill and an ethical mindset Strong analytical, problem-solving, and conflict-resolution skills Familiarity and experience with Federal and multiple state labor laws People-oriented and result-driven Ability to act with integrity, professionalism, and confidentiality Certificates/Licenses *NOT REQUIRED, but holding any of the following credentials is highly desired: PHR, SPHR, GPHR, SHRM-CP, SHRM-SCP Benefits Full Benefits including Medical, Dental, Vision, 401K, PTO Powered by JazzHR
