PROGRAM: Administration REPORTS TO: Chief Operations Officer JOB SUMMARY: Responsible for directing the fiscal functions and performance of Wayside in accordance with Generally Accepted Accounting Principles and with best practice financial management strategies appropriate for non-profit organizations. This position is responsible for directing and/or delegating the following scopes of work: accounts receivable, insurance, planning/analysis functions for short- and long-term fiscal viability, and ensuring the organization maintains fiscal compliance with all state and federal laws and regulations. Responsibilities & Essential Functions: · Organize, design, implement, direct, and evaluate the organization’s fiscal function and performance. · Directs day to day financial management; utilize Peachtree/Sage nonprofit accounting software. · Prepare and execute monthly financial reports and Board Summaries within the time frame established by the CEO. · Support Staff Accountant in execution of monthly grant invoicing. · Oversee accounts receivable working in conjunction with AR Manager to set objectives that align with the accounting department’s goals, ensuring timely filing of claims and payments. · Lead the annual budget process. Ensure expenses and revenue projections are appropriate and fiscally responsible. Prepare annual budget for submission to the CEO, Senior Leadership Team, and Board Finance Committee. · Work with the CEO/COO co-creating a detailed Budget analysis and summary which explains all categories. · Provide continuous improvement to the fiscal process through education of the management team on financial issues impacting their budgets. · Provide timely and accurate analysis of the organization’s fiscal condition and trends in order to assist the CEO and the Board in performing their fiduciary responsibilities. · Proactively establish appropriate fiscal policies, controls, and separation of duties to ensure sound financial practices, protection of assets, and fiscal efficiency in all administrative areas. · Develop project budgets and manage the financing as necessary. · Develop a reliable cash flow projection process and reporting mechanism that includes minimum cash threshold to meet operating needs and loan requirements. · Coordinates the annual financial audit, preparation and submission of the IRS 990 report, 1099 and 5500 filing: Jersey Ave LLC, State of MN, and US Census reporting. · Act as investment adviser to the organization. · Develop short- and long-term schedule for capital expenditures. · Manages property and liability insurance coverage for the organization to minimize risk and exposure. · Ensure 403(b) Retirement Plan is fully compliant with state and federal regulations. · Create and support legal and contract management systems for the organization such as the DHS Functional Expense Report, the Hennepin County Pay for Performance Contract, and/or others as directed. · Works with the Senior Leadership Team to assess opportunities for substance abuse treatment programs and develop business plans, forecasts and analysis of new and existing programs, while assisting with the maintenance of our current assets. · Support the Senior Leadership Team with the collection and presentation of organization-wide performance metrics and dashboard. · Contribute to the Board/staff strategic planning process and provide coordination and administration of the development, updates and implementation reports agency wide. · Works closely with the CEO, COO and Chief Clinical Officer to strategize short- and long-term goals organization wide. · Other duties as assigned. Qualifications & Skills · Must be 18 years or older. · Excellent communication and interpersonal skills · Strong attention to detail, thinking capabilities and humor are welcome. · Ability to work on multiple tasks. · Energetic, forward-thinking, and creative with high ethical standards. · A strategic visionary with sound technical skills, analytical ability, good judgement, strong customer service focus, and passion for the work and mission of Wayside. · Must be able to demonstrate an ability to be responsive in an effective manner, while maintaining a warm and supportive atmosphere. · Must be able to pass DHS background study and meet applicable requirements and regulations. · Emotionally intelligent to relate to people at all levels of the organization and be able to communication the goals of leadership and compliance to the entire organization. · Well organized and self-directed who is also a team player. · A valid Minnesota driver’s license with a good driving record. · No DUIs in last three years; No more than three moving violations/accidents in past three years Education and Experience · Bachelor’s degree in finance, business administration, accounting, or related field. · Master’s degree preferred. · CPA is a plus. · Experience with accounting software (Peachtree/Sage preferred). · Knowledge and experience with Outlook, Word, and Excel. Physical Requirements · Must be able to lift up to 25 lbs. · Must be able to use the telephone and computer. · Must be able sit for an extended period of time. Benefits Paid Time Off Full-time (40 hours per week) employees earn PTO based on the length of service. Starts at 120 hours per year. Part Time employees earn 1 hour for every 30 hours worked. Paid Holidays & Floating Holidays The following holidays are observed by Wayside: New Year’s Day, Martin Luther King Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving Day, and Christmas Day. Full-time benefit eligible employees will earn three floating holidays January 1 st of each year except when they are newly hired. New hires will earn floating holidays based on their hire date during their first year of employment. Employees who work between 30-39 hours per week floating holidays will be prorated based on the hours worked. Wayside offers a comprehensive benefits package for employees.
