Carolina Caro of Conscious Leadership Partners is seeking a skilled virtual assistant with direct knowledge of the speaking industry and experience assisting speakers with outreach and coordination to help grow her company. You are the ideal candidate if you are a results-driven action taker who implements in a timely manner and loves interacting with people. Conscious Leadership Partners is a collective of coaches, consultants, and trainers who support leaders, teams, and organizations with their conscious leadership development efforts, along with diversity, equity, and inclusion initiatives, all in an integrated manner through coaching, training, speaking, and/or consulting engagements. You are perfect for this role if your English language verbal and written communication skills are excellent, you excel at handling multiple projects at once, and you possess strong relationship-building and follow-up skills, both via email and on the phone. You have a passion for people, speaking, and training, are responsive and reliable, and are a self-starter who can work without being told what to do every step of the way. You are passionate about leadership development and value diversity, equity, and inclusion. Ideally you have two or more years of experience providing administrative and coordination support to speakers. Responsibilities (tasks associated with the role) You will provide daily speaking support to the Conscious Leadership Partners team in the following areas: Admin Handle speaking clients’ onboarding and delivery admin needs, such as proposals, agreements, and invoices Maintain awareness of all current engagements to take care of client relationships Manage expense tracking, receipts, and organizing for bookkeeper Lead/CRM Management Manage Zoho One CRM, leaders, and current and past client outreach (via email and phone calls) Check and respond to emails daily and stay on top of client requests Follow up with leads gathered using Talkadot Coordinate list-building and e-newsletter processes Speaking Opportunities Use research tools like IntelEngine and Google to develop a spreadsheet of speaking opportunities with conferences and associations (along with meeting planners for corporate) Familiarize yourself with comparable speakers to assess where they’ve spoken and look for clients on other speakers’ websites for outreach to add leads Fill out speaker proposals online Contact meeting planners Follow outreach process created by Online Business Manager that leads to discovery calls with our CEO, Carolina Training/Coaching Opportunities Use research tools like IntelEngine and Google to develop a list/spreadsheet of target prospects Use LinkedIn for relationship-building and connection with prospects Follow outreach process created by Online Business Manager that leads to discovery calls with our CEO, Carolina PR/Media Outreach Assess which magazines are accepting articles and inform Carolina so she submits articles Use company’s media kit to pitch ideas to media outlets Research editors for media outlets and build relationships using LinkedIn and social media to help company stay top of mind Social Media Coordination (no content writing or posting expected) Review social media posts created by copywriter and graphic design VA to ensure messages and voice are on brand Keep track of progress/statistics from social media efforts Systems & Operations Support Communicate with team using Asana project management system Support Online Business Manager (OBM) with keeping relevant metrics and producing reports Support OBM in documenting and maintaining Standard Operating Procedures related to this role Participate in team meetings as needed Requirements (expected proficiencies to excel in this role) This position is for a person who is: Experienced with Zoho Experienced in the Speaking Industry is a MUST Results-oriented An action taker Passionate about inclusion and diversity Comfortable making phone calls (there is not a ton of phone work, but it is part of the role) Responsible and reliable Organized Flexible Detail-oriented Proactive and takes initiative Follows through in a timely manner A self-starter Able to handle multiple projects at once Excellent with follow-up Open to learning and growth Additional requirements: Available to work during U.S. Pacific Time Zone hours Access to a computer Reliable internet connection Reliable and distraction-free work environment This position is NOT for someone who: Is uncomfortable with inclusion and diversity Has no experience in the speaking industry Has no experience with Zoho One Software Utilized by Company Zoho One, IntelEngine, eSpeakers, Talkadot, SpeakerFlow, Asana, Metricool, Kajabi, Calendly, Zoom, Google Workspace Offer Details This is a part-time, remote, independent contractor position. Pay is $30.00 USD per hour for 25 hours per week (5 hours per day/100 hours per month). Hours are flexible, but you must be available during Pacific Time Zone hours and for unique client hours if/as needed.
