Primary responsibilities of the Office of the Associate Dean for Undergraduate Programs include the following activities: processing of academic requests; marketing undergraduate programs and recruiting high school and transfer students; providing retention and other student support services; coordinating career related programs and activities; providing opportunities for student professional development; preparing appropriate reports and documents related to program assessment and student retention; managing curriculum and program development processes; preparing informational materials; and publicizing activities to students and faculty.About the Position:The primary purpose of the Education Support Specialist is to provide administrative and technical support for programs associated with the CEC Undergraduate Student Services Office. Responsibilities include the following: supporting requests from and serving as a resource for students, faculty/staff, and the CEC service community; preparing and disseminating program information; monitoring the academic progress of students; and preparing reports essential for development/implementation of student retention strategies.Responsibilities:Student Support: * Receives academic requests, reviews for accuracy, verifies documents, and provides to Associate Dean for review. Communicates decisions to students; * Responds to request inquiries via phone and email; * Maintains electronic student file folders and updates as student requests are processed; * Stays up to date on university and CEC academic policy and processes for student requests; * Assists with end of semester termination and warning review; and * Develops and maintains a working relationship with staff across campus offering services to undergraduate students (i.e., Registrar, Financial Aid, CAPS, Academic Advising Center, etc.). Office Support: * Serves as secondary "first point of contact" for calls, visitors, and general email inquiries; * Creates facilities work orders as needed; * Serves as backup contact and support for CEC Peer Mentors; * Mentors new CEC UGSS staff members on processes associated with student requests and other day-to-day responsibilities in the UGSS office; and * Updates UGSS forms. Data Collection and Analysis: * Obtains, organizes, interprets, and presents data relevant to CEC UGSS policies and procedures and to CEC UG student success; * Uses services such as MicroStrategy to collect and organize relevant data for UGSS office analysis; and * Creates, examines, and manipulates spreadsheets. Recruiting and Outreach: * Supports CEC Undergraduate Student Services Office at University Orientation sessions, CEC Research Celebration, CEC Visit Days, Degree Celebrations, and other various recruiting, outreach, and celebration events; and * Assists with event planning, communication, and day-of attendance. Website and Communications: * Maintains and updates websites related to CEC Undergraduate Student Services, CEC Undergraduate forms, and the CEC Peer Mentor Center; and * Compiles and distributes undergraduate weekly announcements. Required Qualifications: * High school diploma or equivalent; * Mid-level professional experience in an office setting; * Experience with confidential record keeping; * Knowledge of general office procedures; * Advanced computer skills, particularly in Microsoft Office Suite and Adobe; * Aptitude to learn new software and internet applications; * Demonstrated skill in using institutional databases, public access sites, and primary research skills to obtain and organize information; * Ability to coordinate a variety of activities simultaneously; * Demonstrated clear communication and problem-solving skills; * Ability to exercise independent, sound judgement with accuracy and attention to detail; * Demonstrated skill in working as part of a team; * Ability to work effectively with diverse clients including students, parents, faculty, and staff; and * Ability to maintain a high degree of confidentiality and accuracy in dealing with clients and all academic requests/forms. Preferred Qualifications: * Bachelor's degree in related field; * Experience in a higher education setting; * Experience with Banner, eVA, Patriot Web, and MicroStrategy; * Experience with event planning; * General knowledge of university policies and procedures; and * Knowledge of university resources.
