Administrative and Business Assistant (Prodigy Program)

Description:

Performs general administrative functions by preparing various memos, reports, forms, or other documents, including charts, graphs, etc. using applicable computer software and letter processes. Enters relevant information as needed and maintains tables and other tracking formats within various software programs. Organizes and prepares information for internal and external distribution. Develops, coordinates, administers and maintains department records and other related information. Serves as information liaison between departments and internal/external customers, and scheduler for department meetings, applicable appointments, and other department related activities. Perform other administrative duties as required. ESSENTIAL DUTIES AND RESPONSIBILITIES W orks with office software programs, including spreadsheets, databases, word processing and graphic presentation software. Sends emails and uses the Web for research and employer-specific applications. Assist with typing and formatting presentations, reports, manuals, and other administrative publications. Multi-task, able to manage a filing system, track incoming and outgoing correspondence and coordinate the flow of paperwork for the various programs. Able to self-manage time. Experienced in using electronic calendar in an email program to set and coordinate meetings and responses for staff and others, to request others to attend and to coordinate their responses. Orders office supplies and repairs to equipment to keep the office well-equipped and stocked for the program staff. Coordinate for accounting and ensure payment of invoices by verifying transaction information; scheduling and preparing disbursements; obtaining authorization of payment. Verifies accounts by reconciling statements and transactions. Secures financial information by completing data base backups. Contributes to team effort by accomplishing related results as needed. Other duties as assigned by supervisor. POSITION REQUIREMENTS: High school diploma is a must, some college preferred. Minimum of 1 year work experience with 2-3 three years computer application. Microsoft Word, Excel and Outlook required. Access, Publisher, Power Point and Publisher desired. High work ethic and ability to maintain confidentiality. Ability to work well under pressure. Experience working with diverse populations as well as "high-risk" youth and families. Work with others on a program team as well as independently. Excellent verbal and writing skills. Excellent organizational and time management skills. Skills in coordinating activities, evaluating data and establishing priorities. Able to attend all mandatory training and staff meetings.
