Job Summary : Working under the direction of the Human Resources & Administrative Manager, the Executive Assistant (EA) primarily provides support to the Executive Director and the Leadership Team and is a member of the Administration Team providing support for organization-wide activities and operations. The EA is essential to the effective and efficient operation of the organization. This is a non-exempt position. RESPONSIBILITIES (INCLUDING BUT NOT LIMITED TO): EXECUTIVE DIRECTOR SUPPORT (50%) Works closely and effectively with the ED to assist them to manage commitments and responsibilities; Prioritizes conflicting needs, handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures; Maintains ED's calendar, coordinates meeting and travel arrangements; Manages all ED communications including email, voicemail and snail mail; Interfaces, on behalf of the ED, with allied organizations, elected officials, funders and others; Composes, prepares and reviews confidential correspondence; Manages reimbursements, credit card reconciliations and check requests for ED Maintains filing systems Maintains contacts in Outlook and ensures entry in EHC data base LEADERSHIP TEAM SUPPORT SUPPORT (25%) Maintains Associate Director's calendars, coordinates meeting and travel arrangements; Manages some communications with allied organizations, elected officials, funders and others, upon request Maintains contacts in Outlook and ensures entry in EHC data base Manages reimbursements, credit card reconciliations and check requests for Ads Some management of associate directors email accounts during extended vacations ORGANIZATIONAL SYSTEMS (25%) Logistical and communications liaison with the Board of Directors including coordinating quarterly Board meetings and quarterly Executive Committee meetings; Provide data base support by entering contacts; categorizing contacts and removing duplicates Provide logistical support for large in-person meetings including: venue identification; ordering food; maintaining and setting up equipment for virtual meetings; securing interpretation. This will include trainings, retreats and other large events, Develop staff meeting agenda, in coordination with Leadership Team; coordinate power point presentations for staff meetings and share monthly campaign updates with Board; take staff meeting minutes Develop, update and maintain food protocol update including identification of appropriate sources of food and periodic updates. Provide assistance to staff for food ordering TEAM SUPPORT Support campaign/departments in administrative areas, as assigned Provide oral and written translation (English/Spanish) on occasion as assigned Supporting management of Organization's zoom accounts including identifying proper storage of zoom meeting recordings. REQUIRED QUALIFICATIONS 5 year's office support experience, with 2 years at executive level High school diploma or equivalent Experience with MS Outlook Experience with MS Word Experience with Excel PREFERRED QUALIFICATIONS Bi-lingual (Spanish) Experience working in environmental, social or racial justice organization Bachelor's degree Salary Range: $67,808 to $76,808 CONDITIONS OF EMPLOYMENT Covid-19 Vaccination-Booster/Testing : EHC requires all personnel to maintain up-to-date vaccinations and obtain any supplemental booster shots, if available and not medically contraindicated or have an approved exemption. We require personnel to certify that they have obtained the necessary immunizations and maintain a copy of that certification, which must be provided at our request. If an employee does not receive vaccinations/boosters and receives an exemption from this policy, they will be required to obtain regular and appropriate testing to certify non-infection. Physical Requirements and Work Environment: Work performed primarily in an office setting. The position also involves the use of a computer, keyboard, tablet, scanner, telephone, and face-to-face communications. Employee must be able to lift up 20 lbs. Employee must be able to communicate clearly and professionally in all of these manners. Position may include participating at events, which may require standing several hours on an as-needed basis. The employee may spend periods sitting, standing, or walking. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
