Delta Star has an immediate opening for a ExecutiveAdministrative Assistant. Full-Time, Hourly Position Company Info Delta Star provides power solutions for utilities across North America. This includes the manufacturing of medium-power transformers, mobile transformers, mobile electrical substations, trailers, and united substations. We offer power transformers for utility applications including power and distribution, transmission voltages, systems ties, and automatic voltage regulations, as well as industrial applications. Delta Star also provides comprehensive engineering, testing, maintenance services, and parts for any transformer manufacturer through our Field Service business unit, ensuring our customer's transformers and mobiles maintain peak performance. Purpose We are seeking a highly organized and detail-oriented Executive Administrative Assistant to primarily support our General Manager and provide additional support to the leadership team members, including HR. The successful candidate will ensure company goals and objectives are accomplished, and operations run efficiently. Duties Handle sensitive business and confidential information with discretion, tact, and diplomacy. Coordinate travel arrangements for flights, lodging, car rentals, and meals as needed Manage the calendar and meetings of General Manager and leadership team members, including handling meeting logistics, preparing and circulating agendas and meeting materials, and accurately recording minutes and action items. Manage travel logistics and activities, including accommodations, transportation, meals, and itineraries. Perform clerical and administrative tasks, including drafting letters, memos, invoices, reports, and other documents for senior staff. Prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents to support the organization's objectives. Screen incoming telephone calls, take and deliver accurate messages, respond to requests by gathering and providing information, and refer non-routine calls to the appropriate staff. Reconcile monthly credit card statements and process expense reports for the GM and leadership team. Maintain supplies inventory by checking stock, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies. Partner with HR to drive employee engagement through the coordination of celebrations for awards, birthday cards, meal trucks, ice cream socials, and other event planning. Perform other tasks as assigned. Education & Experience High school diploma required; Associate's degree in Business Administration or related field preferred. 6+ years of related experience required in working as an executive assistant. Notary certified or willing to be certified. Manufacturing experience preferred (but not required). Skills & Abilities Ability to communicate effectively and professionally. Ability to be onsite 100% of the time. Bilingual in any language; Spanish preferred Excellent communication and time management skills; proven ability to meet deadlines. Enthusiasm for challenges, comfortable with change, ready to learn. An eye for efficiency: constantly improving results by studying, evaluating, and re-designing processes and implementing those changes. Excellent attention to detail. Punctual, courteous, professional, and reliable; possess sound judgment. Strong knowledge of MS Office. Up-to-date with advancements in office gadgets and applications Excellent interpersonal skills and ability to work collaboratively with all levels of the organization. Ability to function well in a high-paced environment; performs additional duties as assigned by executives. Desire to work outside of boundaries, drive change and foster continuous improvement.
