This individual will be an experienced Executive Assistant responsible for providing comprehensive support to our board of trustees, special councils and committees, CEO and leadership team , as well as office support. Ronald McDonald House Charities of Tampa Bay (RMHCTB) has been working to improve the health and well-being of children and their families since 1980. Our primary program, the Ronald McDonald House, provides a place to stay for families that have children receiving medical treatment at Tampa Bay hospitals and outpatient centers. RMHCTB operates 4 Ronald McDonald Houses in Tampa Bay, 3 located in St. Petersburg and 1 located in Tampa. Overview Benefit s : RMHC-TB covers 100% of employee health and dental, provides 401k with annual contribution, offers two weeks of paid leave with annual leave increase plus an additional 12 flexible days for holidays + accrued sick leave. Work location : Business Office, 35 Davis Blvd. Tampa, FL 33606 Schedule: Mon - Thurs and typically remote Fridays if desired. Occasionally Friday on-site work may be necessary and about 6-8 evenings a year for board meeting s or signature events. Position Summary: Reporting to the CEO, the Administrative Coordinator will take on administrative tasks for the organization with high standards for accuracy and attention to detail. This position supports the Board of Trustees, the CEO, other leadership, and provides administrative support for strategic projects. This position is a blend of supporting strategic and high-level initiatives while also handling basic administrative responsibilities such as answering the office phones and helping with office management. Support of Board of Trustees and Special Councils (25%) Schedules all Board and assigned committee meetings, track RSVPs and attendance, prepares and distributes meeting materials, ensures room setup is completed, coordinates audio/visual requests, coordinates catering when needed, attends meetings, takes minutes, keeps binders and electronic files current, and other tasks necessary for meetings. Management and maintenance of board virtual platform, board files & records, rosters, etc. Monitor and activate communications to boards and councils including recognition and special events. Project tracking for board strategic initiatives. Other planning and administration of governance activities for boards and councils as requested. Attends and assists at events and meetings as needed, some of which may occur in the evenings. Organizational Administrative Support (50%) Support the CEO and leadership team with scheduling and communications. Administrative support for special initiatives. This includes tracking data, ordering supplies and communication to promote successful outcomes including projects such as capital campaigns and future program research and reporting. Assist in updating internal employee portal and managing organizational documents. Office Administration (25%) Answer general phone lines in Business Office and assist in directing callers to the appropriate team member. Maintains office equipment, troubleshoots issues, calls vendors for repairs or updates when needed, and monitors office equipment operation. Monitors supplies for department and general office areas and orders supplies as needed. Oversee the proper functioning of supplies and equipment and general organization of the business office. May help with basic bookkeeping duties such as scanning deposit and data entry and tracking. Other duties as assigned. Skills/Attributes Excellent customer service skills. Accuracy and attention to detail. Advanced proficiency in Microsoft Office Suite. Competency in databases and portals. Excellent writing, grammar, spelling, and interpersonal communication skills. Exhibit superior planning, organization, and multitasking skills. Be flexible and adaptable. Self-starter with the ability to take initiative. AA or a minimum of 4 years of relevant experience. Reliable transportation.
